Use a screen reader to change the indentation and spacing options in Outlook

Applies To
Outlook for Microsoft 365 Outlook 2024 Outlook 2021 Outlook 2019 Outlook 2016 Outlook Web App

This article is for people who use a screen reader program such as Windows Narrator, JAWS, or NVDA with Windows tools or features and Microsoft 365 products. This article is part of the Accessibility help & learning content set where you can find more accessibility information on our apps. For general help, visit Microsoft Support.

Important

Steps may be different between new and classic Outlook for Windows. To determine which version of Outlook you're using, look for Settings on the ribbon. If there's no Settings option, follow the steps under the Classic Outlook tab. If the Settings option appears, select the tab for New Outlook.

Use new Outlook for Windows with your keyboard and a screen reader to change the indent, the line spacing, and the space before and after paragraphs in your message. We have tested it with Narrator, JAWS, and NVDA, but it might work with other screen readers as long as they follow common accessibility standards and techniques.

Note

  • New Microsoft 365 features are released gradually to Microsoft 365 subscribers, so your app might not have these features yet. To learn how you can get new features faster, join the Office Insider program.
  • To learn more about screen readers, go to How screen readers work with Microsoft 365.
  • This topic assumes that the Reading pane is off.
  • New Outlook doesn't have the Paragraph dialog box. To set a first-line or hanging indent, or to type an exact spacing value, use classic Outlook for Windows.

Increase or decrease the indent of a paragraph

  1. When composing a message, place the cursor in the paragraph you want to indent. If you want to change the indentation for the entire message, press Ctrl+A to select all the text.

  2. Press Alt, O to go to the Format text tab.

  3. Do one of the following:

    • To increase the indent from the left margin, press A, I.
    • To decrease the indent from the left margin, press A, O.

The indent changes, and the focus stays in the message body.

Tip

You can also browse the ribbon. Press F6 once to go to the ribbon tabs, press the Right arrow key until you hear "Format text tab," and then press the Tab key once to move to the formatting options. With Narrator and JAWS, press the Right arrow key until you hear "Increase indent" or "Decrease indent," and then press Enter. With NVDA, press the Down arrow key until you hear "Toggle button, not pressed, increase indent" or "Toggle button, not pressed, decrease indent," and then press Enter.

Change the line spacing

  1. When composing a message, place the cursor in the paragraph you want to format. If you want to change the line spacing for the entire message, press Ctrl+A to select all the text.
  2. Press Alt, O, K. The Spacing menu opens.
  3. Press the Down arrow key until you hear the line spacing you want, for example, "1.5," and then press Enter. The options are 1.0, 1.15, 1.5, and 2.0.
The line spacing changes, and the focus returns to the message body.

Add or remove space before or after a paragraph

  1. When composing a message, place the cursor in the paragraph you want to format. If you want to change the paragraph spacing for the entire message, press Ctrl+A to select all the text.
  2. Press Alt, O, K. The Spacing menu opens.
  3. Press the Down arrow key until you hear "Add space before paragraph" or "Add space after paragraph," and then press Enter.
The space is added, and the focus returns to the message body.
  4. To remove the space again, repeat steps 2 and 3. The menu option now reads "Remove space before paragraph" or "Remove space after paragraph."
