Create a quick step for your list or library
After you create a list or a library in Microsoft Lists, SharePoint, or Teams, you can create quick steps to use as a custom command or predefined actions. Examples include, selecting an item and running a flow or selecting an item and composing an email based on the people in a specific column.
You'll choose an outcome, complete required fields, and provide a name for your quick step. (To demonstrate, the following procedure creates a quick step for a list. It will allow the user to select an item and execute a flow.)

With the list open in Microsoft Lists, SharePoint, or Teams, near the top of the page, select the ellipsis (...) icon. Then, select Integrate,select Quick steps, and then Create a quick step.

Under For selected items, select what action you want to be able to perform. For example, Execute a flow.

Based on the action you select, you'll complete the rest of the sentence and provide a name for your quick step.
​​​​​​​For this example quick step, you will need to provide the ID for the flow that you'd like to be able to execute when an item is selected. In this case, you'll need to have your flow ID ready, by navigating to My flows and selecting Get flow identifier in the export menu. Paste that value into the ID field. Important: When using the execute a flow action, users who don't have permission to run the flow will receive an error message as they attempt to use the quick step and run the flow. You can consider adding the list or library as co-owner on target flow to grant permissions, learn more here.

When you're finished customizing the statement and required parameters, select Create. Â
Note: The name you provide will be displayed in the Automate menu when an item or file is selected or for the entire list depending on the type of quick step you create. Other users with access to the list or library will be able to see and use your quick step.​​​​​​​

You'll see your completed rule on the Manage quick steps page, and the quick step will be available to use. You can enable or disable at any time, or click the quick step to update or delete.

Once created, you will see your quick step available at the top of the Automate menu in the command bar and overflow menu when an item or file is selected.
Troubleshooting: Can't create a quick step
If you encounter an error when you try to create a quick step, it's likely caused by the permissions applied to the list or library. You need the help of someone who is an owner of the library or list to fix this situation, as described below. Â
Permissions for libraries and lists
In order to manage quick steps, you must be granted "Edit" permission to the library by the owner. The owner can do this by sharing the library with you and specifying Can edit.
The ability to run quick steps will vary per action, for draft an email, start a Teams chat, and execute a flow, "Read"Â access is required, for set value or send an approval request, users will need "Edit" permissions.
