With Microsoft Forms, you can send your form or quiz to students, parents, and colleagues and collect their responses in a few different ways, depending upon your needs. If you've already created a form, follow these instructions to choose who to send it to, who can respond, and how to send it. 

You can send your form as an email in Outlook, a message in a Teams group or channel, via a QR code, or you can copy the URL or embed code for use in another type of message. Revisit these instructions anytime you need to send the form again, or use Copilot to boost responses by sending reminders if people haven't responded.

Choose who can respond to your form

  1. Go to Microsoft Forms with your Microsoft 365 school credentials, Microsoft 365 work credentials, or Microsoft account (Hotmail, Live, or Outlook.com).

    Note: You can also log in to Office.com, look for the Microsoft 365 icons on the left, and then select Forms.

  2. Select the form you'd like to share and collect responses for to open it.

  3. Select Collect responses to display options for sending your form.Select collect responses

  4. On the Send and collect responses screen, you can change who can respond and how they will receive the form.

    Note: If you're on the mobile site, make sure you're on the Questions tab and then press the arrow button in the center.

  5. Under Send and collect responses, select the audience from these options:Choose from three options to allow different types of people to respond, depending on how they sign in or not.

    • Anyone can respond - Anyone inside or outside of your organization can submit responses to your form or quiz. These responses do not require someone to sign in.

    • Only people in my organization can respond - Only people within your organization, signed in with a work or school account, can submit responses to your form or quiz. You can choose to have their name recorded or not, and to limit responses to one per person.

    • Specific people in my organization can respond - Only people or groups in your organization that you specify can respond to your form or quiz. You need to complete the Enter a name, group, or email address field. You can choose to have their name recorded or not, and to limit responses to one per person.

      Notes: 

      • Only people in my organization can respond and Specific people in my organization can respond options are only available for Office 365 Education and Microsoft 365 Apps for business users. Users with other mailboxes, such as those hosted on a dedicated Exchange Server and accessed via REST APIs, are not supported. Learn more.

      • When you select the Specific people in my organization can respond option, you can designate a total of up to 100 individual names or group names. Of the 100- limit, you can designate up to 20 groups (and each group can contain up to 1,000 individuals). For example, you can collect responses from 80 individuals and 20 groups for a total of 100.

Choose how to send your form

  1. To quickly share a link to the form, select Copy link. Select the Shorten URL checkbox if you want a shorter URL than what's provided. Proceed to the next step to see more sending options.You can send your form multiple ways from the send and collect responses screen.

    Note: The Shorten URL option is not available when signed in to Forms with a Microsoft personal account (Hotmail, Live, or Outlook.com) or if you're using the mobile site. 

  2. With the enhanced distribution capability of Forms, you have the option of sending attractive invitations through different platforms. Select an invitation icon for your chosen delivery method. The options are:

  •  Invitation  Forms contact iconfor Outlook or Teams: Enter an contact's name, a Teams group, or a Teams channel. Select a checkbox for Outlook, Teams, or both. In the message field, Copilot will provide a personalized default message to match your form to help respondents gain a clear understanding of the invitation's details and timeline. The style your chose when you designed your form will display in the invitation. You can edit this message here, or select Rewrite with Copilot.  If you choose Rewrite with Copilot, Copilot will provide a few different options to choose from. Use Next draft or Previous draft to scroll through the options.Copilot generates a suggested invitation text automatically. You can edit the text here or select Rewrite with Copilot to ask it to generate a new version.

    Notes: 

    • If you are sending a form or quiz in Teams, you can send it to a person, a chat group in Teams, or a Teams channel when you select the invitees.

    • When you enter an Outlook address for an addressee, the Outlook checkbox if filled by default.

    • An invitation supports up to 500 individual recipients, including members of groups and chats/channels. In Outlook: You can send to a maximum of 500 individuals, or to a group with more than 200 members. In Teams: A Teams group is limited to 200 members, so you can only send to groups of up to 200.

    • One invitation only supports one group.

  • QR Code  Download QR code button: Select the QR icon > Download. Recipients can scan the code on a phone or tablet to access the form.

    Note: Insert the downloaded .png wherever your intended audience can scan it with a QR code scanner.

  • Embed  More options button: Select the Embed icon > Copy. Copy this code and paste it in a webpage or Sway.

Note: Anyone who receives the form link through email will be able to forward your email to other people who can potentially see and complete your form. If your form, however, is set to Only people in my organization can respond or Specific people in my organization can respond, only individuals and groups you define - whether everyone in your organization or just specific individuals and groups - can view and respond to your form (even if the email has been forwarded to them).
