Microsoft 365 Copilot in Outlook Calendar simplifies meeting preparation with the "Prepare with Copilot" feature. It offers summaries of upcoming meetings, highlighting key details, tasks, and topics. This guide covers how to use Copilot to simplify your meeting workflow.

Draft a meeting agenda with Copilot

Copilot is available directly from your Outlook Calendar, making it easy to draft agendas for your events.

  1. Open the Outlook app and navigate to the Calendar toggle button, then press Enter.

  2. Press the Tab key until you hear “New Event button,” then press Enter.

    • Alternatively, press Ctrl+N to create a new event in the Windows app. If you are using Outlook on the web, press N to create a new event.

  3. Add the meeting title and attendees in the respective fields, then select the date and time for the meeting.

  4. Use the Tab and arrow keys to navigate to the Draft with Copilot button and press Enter.

    • Alternatively, type "/" in the event description to open the Copilot.

  5. Type your prompt, providing as much context as possible to help Copilot generate an effective draft.

  6. Press the Tab key until you hear “Generate button,” then press Enter.

    Note: ​​​​​​​After the response is generated, the focus will automatically shift to the prompt edit box.

  7. The draft is generated in the invite body. If you need more details, type a prompt and press Enter to update the draft.

  8. Navigate using the Down arrow key until you hear the “Keep it menu item,” then press Enter.

    Note: ​​​​​​​​​​​​​​Review the proposed agenda and make any necessary adjustments before sending it as part of your meeting invite.

  9. Once the agenda is generated, press Ctrl+Enter to send the meeting invite.

Prepare for a meeting with Copilot

​​​​​​​​​​​​​Copilot in Outlook Calendar offers a Prepare with Copilot feature, helping you quickly access summaries for upcoming meetings. 

Note: The "Prepare with Copilot" button appears for meetings with at least three participants and related content to summarize. Not all meetings currently support this feature. 

  1. Open the Outlook app and navigate to the Calendar toggle button, then press Enter.

  2. Navigate to your meeting using the Tab key, then press Enter to select it and open the meeting information window.

  3. Press the Tab key until you hear “Prepare with Copilot button,” then press Enter.

    Important: If you don’t hear “Prepare with Copilot button,” while navigating through the meeting details, this means the meeting doesn’t have a summary available.

  4. Copilot will gather related information and generate a summary for your review. The summary is organized into several sections, including Overview, Tasks, Actions, Recap, and Topics, depending on the resources available. Use the Tab key to navigate through all the sections.

Note: Copilot only summarizes meeting content you can access. The summary is personalized, so other participants may receive different versions based on their access and permissions.
