Copilot can summarize key discussion points—including who said what and where people are aligned or disagree—suggest action items, and answer any questions you have, all in real time during or after a meeting.
Notes:
-
Copilot can be used without turning on transcription if the organizer sets up Copilot only during the meeting. Otherwise, the meeting must be transcribed to use Copilot.
-
Copilot won't work in meetings that are hosted outside the participant's organization.
Set up meetings with Copilot
As a meeting organizer, you can decide how and if participants can use Copilot. Even if you don’t have a license, you're in control of Copilot for meetings you organize.
Depending on your organization's policy, sensitivity label, and template settings, you can choose from the following values for the “Allow Copilot” meeting option:
-
During and after the meeting: Transcription is required to use Copilot. Copilot starts as soon as someone in the meeting begins transcribing. Stopping transcription will also stop Copilot. Selecting
Copilot in the meeting controls will send a prompt to start transcription; confirming will start Copilot and transcription for the meeting. -
Only during the meeting: Copilot starts as soon as it’s selected in the meeting controls. Copilot uses speech-to-text data to provide insights about what is said in the meeting. If someone starts transcribing the meeting, Copilot will be available during and after the meeting for portions that were transcribed. After the meeting ends, speech-to-text data that was not transcribed and interactions with Copilot will no longer be available. Selecting
Copilot in the meeting controls will send a prompt to select the correct spoken language for the speech-to-text data; confirming will start Copilot for the meeting. -
Off: Copilot is disabled for the meeting. Recording and transcription are also disabled for the meeting to prevent Microsoft 365 Copilot from accessing any sensitive information that may have been shared during the meeting.
Have a more effective meeting
Copilot helps you stay on track by reasoning over the discussion, chat, and content shared on the screen to answer to your questions about the meeting. Select
Click on the More Prompts button for prompt suggestions or ask Copilot questions of your own using the compose box. Here are some ideas:
-
Where do we disagree on this topic?
-
How did [a meeting participant] respond to this proposal?
-
What questions can I ask to move the meeting forward?
-
Where are some holes in [a meeting participant's] argument?
-
Create a table with the ideas discussed and their pros and cons.
-
List the ideas, including people's feedback, from transcript and chat.
Visit the Copilot Prompt Gallery to explore more prompts and learn about how to get the most out of Copilot.
If you join a meeting more than 5 minutes after it started and Copilot is active, Copilot will send a notification offering to catch you up. Select Open Copilot and wait for the summary to generate on the right side of your meeting window.
While using the Teams desktop app, select
Ask questions about shared screen content
Visuals help make meetings more engaging, but they also provide information and data that may not be captured in the meeting transcript or chat. You can ask questions to Copilot in Teams meetings that references the shared screen content.
For example, you can ask Copilot:
-
Show me the slide with the project's next steps.
-
What are the revenue goals for next quarter?
-
Which table outlines the organization's leaders?
Note: Currently, PowerPoint Live and Whiteboard screen shares can't be referenced by Copilot in Teams meetings.
For Copilot to reference shared screen content, make sure the following requirements are met:
-
The shared content has been shared for at least 10 seconds.
-
For example, if sharing a PowerPoint presentation, information on a single slide can only be referenced by Copilot if that slide was shared for at least 10 seconds.
-
-
The shared content isn't crowded or hard to read.
-
Content that is too small or too crowded to be legible can't be referenced by Copilot.
-
-
Your questions to Copilot should be about the information in the shared content and not the design of the shared content.
Edit Copilot's responses in Word or Excel
Copilot in Teams for meetings can help your team get started on important documents that can be exported to Word or Excel for further collaboration.
-
If Copilot's response is over 1300 characters, select
Open in Word to open Copilot in Teams' response in Word. -
If Copilot's response is formatted as a table, select
Open in Excel to open Copilot in Teams' table in Excel.
If you added a sensitivity label to your meeting that doesn't allow participants to export content from the meeting, you can't export Copilot's responses to Word or Excel.
Also, if you turned on the meeting optionTurn off copying and forwarding of meeting chat, live captions, and transcripts, you can't export Copilot's responses to Word or Excel either.
How to use Copilot after a meeting
You can access Copilot after the meeting from the meeting chat and from the Recap tab. To ask questions about what was said in the meeting after it ends, there must be a transcript available.
From the meeting chat
Select
Before the meeting starts, you can use Copilot in the meeting chat thread, just like any other chat. Once transcription starts in the meeting, Copilot will include chat data from up to 24 hours before the meeting along with the transcript. As long as the transcript is available, Copilot will be able to use both chat and transcript as sources in the meeting chat.
Notes:
-
If Allow Copilot is set to “Only during the meeting” and no transcript was started, Copilot in the meeting chat will only include information from the chat.
-
If Allow Copilot is set to “Off”, Copilot in the meeting chat will still be available and only include information from the chat.
From the Recap tab
Copilot can also be accessed from the Recap tab in the meeting chat. Open
Notes:
