Viva Pulse supports delegation, enabling trusted individuals to create, send, and manage Pulses on behalf of organizational leaders, while still giving leaders the ability to maintain oversight and control. This feature is designed to support executive assistants, chiefs of staff, and other designated roles who act on behalf of leaders in collecting and analyzing feedback.

Delegation in Viva Pulse allows a user (the delegator) to authorize another user (the delegate) to manage the Pulse survey lifecycle on their behalf. Delegates can create, send, and manage Pulses, while the delegator retains ownership and visibility into all activity.

Assign and manage delegates

Delegators can assign up to five delegates to act on their behalf.

  1. View current delegates by navigating from the Pulse homepage, clicking on the ellipsis menu in the top right under …, and select Manage delegation.

  2. Add delegates by entering the employee’s name in the search field under Manage delegates and clicking on the Invite button.

  3. Remove delegates by clicking on the ellipsis menu … under the section labeled My delegates and select Remove delegate.

Delegator can select users to be their delegates, who can take actions on their behalf in Viva Pulse.

Request to be a delegate

A user can initiate a request to be a delegate of another user. A user cannot be the delegate for more than 5 people. The user cannot initiate a request to be a delegate if they already have a pending invite from the delegator.

  1. Navigate from the Pulse homepage, click on the ellipsis menu in the top right under …, select Manage delegation, and click on the tab labeled Your delegate status.

  2. Add the name of the delegator by entering the employee’s name in the search field under Your delegate status and clicking on the Request button.

  3. The delegator will receive an email notification to grant access to the delegate.

Take actions on behalf of a delegator

Delegates will receive an email notification upon being added as a delegate in Pulse and must accept the invitation in the email notification before gaining access to the delegator view. To check on the delegate status, navigate from the Pulse homepage, click on the ellipsis menu in the top right under …, select Manage delegation, and click on the tab labeled Your delegate status.

Delegator can invite delegate to access and use Viva Pulse on their behalf.​​​​​​​​​​​​​​

Once the delegate gains access, they can:

  1. Create and send Pulses on behalf of the delegator. Survey recipients for Pulses sent by the delegate will see the email and Teams notifications indicate that the Pulse was sent on behalf of the delegator.

  2. View all Pulses sent or drafted.

  3. View all Pulse reports.

Note: Delegates cannot respond to confidential conversations or share Pulse reports.

A user can be a delegate for multiple people. A delegate can switch between delegator profiles to take actions in Viva Pulse on behalf of different delegators by clicking on the user avatar button next to Send a pulse on the homepage.

Privacy and security

To protect the delegator’s privacy and security, access must be explicitly configured by the delegator. Delegates must accept the role before gaining access. All actions are logged on behalf of the delegator and indicated as so to survey recipients, so delegates cannot spoof or impersonate the delegator.
