Follow these best practices to optimize your setup, enhance your video presence, and more for a smooth and engaging experience for your audience.

Download Microsoft Teams for desktop for the most reliable meeting and event experiences. Enjoy full feature access and superior performance. Update Teams for the latest security features and bug fixes. 

Set up your network and device 

Follow these tips to set up a strong network connection and eliminate unnecessary interruptions during your presentation. 

  • Connect to wired internet for stable and professional experiences. Wired internet connections are more reliable than Wi-Fi and help prevent lag or dropouts. Test your connection in advance using nperf.com.

  • Make sure your device is plugged in or fully charged. Long sessions can drain your battery quickly and you don’t want unexpected shutdowns.

  • Close unnecessary applications and turn off notifications before going live—especially from Teams, email, or messaging apps—to avoid distractions and pop-ups during your presentation.

  • Use Copilot+ PCs or equivalent hardware to ensure optimal performance, especially for screen sharing and video functionality. While you can use hardware that meets the minimum specifications for Teams, you might not experience the most optimal performance.

    • Copilot+ PCs are a new class of Windows 11 AI PCs:

      Processor

      A compatible processor or System on a Chip (SoC) with an NPU capable of performing 40+ TOPS. This currently includes:

Set up and test your audio 

Audio can be more important than video, especially for attendees who join and just listen. Ensure clear communication with your audience using the tips below. 

  • Use either a wearable microphone or, if presenting from a computer or other device, a Teams-certified headset.

  • Test your audio levels beforehand and know how to mute and unmute quickly.

  • Minimize background noise and avoid speaking in reverberant spaces.

  • If you're presenting from a room, test in-room audio before the event so you don't bring noise or feedback from the room into the online event.

Set up your camera and video presence 

When you’re using video during a meeting or event, here are some ways you can look and present your best: 

  • Use a 720p or 1080p webcam.

  • Position your webcam at eye level so you're centered in the frame.

  • Make sure your face is lit from the front and avoid strong backlighting, shadows, or glare. Even a simple desk lamp in the right spot can make a big difference.

For a polished video presence: 

  • Choose a clean, uncluttered background, or use a Teams virtual background if needed.

  • Wear solid colors or subtle patterns that contrast with your background to help yourself stand out clearly.

  • Speak naturally and confidently. Use a conversational tone, bring energy to your delivery, and maintain eye contact with the camera to keep your audience engaged.

Tip: If presenting to both in-room and virtual audiences, alternate eye contact between the camera (for remote attendees) and the in-room audience so everyone feels included.

Fine-tune your presentation  

Follow these best practices to craft a presentation that’s easy for your audience to follow and remember later. 

  • Set a clear agenda and segment the content into digestible chunks

  • Simplify slides using bullet points, sans-serif fonts size 20 pt. or larger, high contrast, and limited text.

  • Use accessible materials (e.g., alt text, readable fonts) and share resources and slides in advance.

  • Set embedded videos to play On Click. Have presenters walk through the presentation in advance to ensure they have access and can play the media correctly.

  • Compress large media files in your presentation to improve performance and reduce playback issues by selecting File > Info > Compress Media.

  • Rehearse your presentation with full-tech setup, transitions, video playback, and timing.

Share your screen 

Presenting content from your screen is a great way to demonstrate workflows and guide attendees through important resources. Try our screen sharing tips for smooth presenter and audience experiences. 

  • Make sure to set your screen to 1920x1080 resolution. This is the most universal setting and will show the best to a virtual audience

  • We recommend using Windows screen sharing and setting your presentation to full-screen mode for optimal visibility.

  • Share audio from your device when you’re presenting media.
